The reservation calendar
The main component of the calendaring system is, of course, the calendars themselves.
There are two different types of calendars.
- Reservation calendar
- Navigation calendar
We will start with the reservation calendar. Below you will see an example of a reservation
calendar:

There are several components of each bi-weekly reservation calendar.Here is a run down
of what each of them are:
- This is where the machine/resource name is displayed. Underneath, the link that says "Mailing list"
is a link to the "cancelled reservations mailing list". If you want to be notified about any cancellations
on this machine/resource, click this link and follow the instructions to sign up to the list.
- These times denote (in 24 hour format or "military time" as it's commonly known) the way
that the machine/resource's day is split up. These "slots" are chunks of time in which a user is
allowed to reserve the machine/resource.
- Days and time slots that are greyed out are in the past and are not valid to be reserved.
- Here we see an example of time slots which are taken. Both of the time slots for Thursday
are reserved by user "service". The icon can be used to find out what group a user belongs to
by looking for it in the "Group legend" located at the top of the calendar page.
- There are no reservations here, so you would be able to reserve either or both of these days
(as well as any other time slot that says "Available!" on it.) Your group, however has limits as
to how many reservations it, as a group, can make on each machine.
- This is the second week in the series. For instance, if you just come to the web page without
jumping to another date, this would denote next week.
- This is an example of a "standing reservation". A standing reservation is different from a
normal reservation. A standing reservation does not need to be made by the group. A standing
reservation is given to a group by the scheduling administrator so that they receive preference
for that machine/resource on that given day/slot. A group may, however, give up this "standing
reservation" for whatever reason.
- After you have made selections as to what slots you would like to reserve, click this button to
proceed.
The navigational calendar
In order to jump to times/dates other than this and next week, there is a navigational calendar
located in the top right hand corner of the calendar page. Here is what it looks like:

There are two different ways of getting to different calendar locations:
- Click on the arrow icon (
)to the left of the week you want
to jump to. For instance, if you wanted to go to March 21st, you would click on the arrow icon
that was directly to the left of the 18th of March.
- You can also select what month and year you want to view. Simply select the month from
the drop-down box and enter what year and click on the "Jump to month" button, and you
will be taken to a calendar similar to the one you are viewing but starting at the first of the month
that you selected. From there, you can use the aforementioned method of jumping to weeks
to go to a specific week.
Common problems
- "I can't see the machine/resource I want to reserve."
This is most likely because your group does not have access to that machine. Contact
the scheduling administrator for details.
- "I tried to make a reservation, and it says that the time slot is unavailable! It was available
when I clicked the Reserve button!"
Unfortunately, someone beat you to it. In that time that was between the displaying of the
current calendar and you making the reservation, someone already reserved that time slot.
